Munich Volkstheater: Top start for the mydocma software

Defect management, construction documentation & image management

With the turnkey construction of the Munich Volkstheater, Georg Reisch GmbH has landed its largest project to date. The proud construction sum: more than 130 million euros. The Upper Swabian company prevailed over its competitors in a multi-stage tendering process and was awarded the contract by the state capital of Munich. In order to be able to act even more efficiently during the construction and warranty phase, it brought edr software on board: our IT solutions for defect management mydocma MM, construction documentation mydocma RP & image management mydocma PX contributed to the success of the project from the digital side.

Georg Reisch GmbH has now completed the new landmark of Munich’s cultural scene. Based on their positive experience, they will gradually roll out our software products to other projects in the future. In this interview, we find out from Tim Baur, site manager in the turnkey construction division, how the construction company is benefiting from the digital tools.

INITIAL SITUATION

edr software: What were the underlying problems before the introduction of our solutions? What was being worked with in the relevant areas?

Tim Baur: Before the introduction of the defect management software, we often worked in the traditional way with Excel lists. The further the projects progressed, the more extensive and sometimes confusing this process became for us. Errors kept creeping in with the sequential numbering and there was a lack of automated mechanisms for efficient tracking. Defects were usually dealt with by e-mail, which was sometimes time-consuming. Some of our construction reports were still created using Word templates and we simply stored project images on our local networks or in cloud solutions. With the start of the major Munich Volkstheater project in 2018, we wanted to optimise the procedure in the respective areas with suitable digital tools.

edr software: What prompted Reisch to choose edr software as its digitalisation partner? How did they become aware of us?

Tim Baur: A colleague in charge of IT brought the edr software products up for discussion, as she had already had positive experiences with the applications in the past. When we were introduced to the modules by Mr Eckel [Managing Director of edr software], it quickly became clear that they were ideal for our requirements and that we could use them to make our day-to-day work more productive.

PROBLEM SOLUTION

edr software: What were the key requirements for the new IT solutions?

Tim Baur: We have chosen digital solutions that allow us to work quickly, simply and clearly. It is important to us that the software covers the entire process chain of a construction project, that all project participants can be integrated and that automatic versioning ensures that the data is always up to date. Time is often the main problem, which is why it was also crucial for us to introduce new digital applications whose functionality is largely intuitive for employees.

edr software: How were the applications introduced in the company?

Tim Baur: edr software set up the systems according to our individual configuration requirements – these were queried in advance using checklists, among other things. A workshop was then held for fine-tuning, followed by group training sessions in which the participants were familiarised with the modules. Colleagues who have already worked with it can instruct our new employees well. This is done without too much effort, as the software architecture and input masks are designed to be easy to understand.

edr software: How can problems that existed before the introduction be solved with the help of the software solutions? Let’s start by talking about defect management.

Tim Baur: The project-specific customisation options, such as self-defined filters, layouts or defect pools, ensure that we have the required data to hand much more quickly when tracking. In addition, the traffic light system immediately signals to us what the current processing status is. The integrated spatial structure of the building also makes it easier for us to allocate the defects precisely. And with the integrated letter templates and lists, we now communicate to the outside world in a much more standardised way than was the case in the past.

edr software: What has improved significantly as a result of construction documentation with mydocma RP?

Tim Baur: mydocma RP gives us a much better overall overview. The reports list in detail who did what on the construction site and when. With its tabs, input masks, selection lists, etc., the module provides us with a structured framework for the documentation process so that we don’t forget anything. And it makes the entire workflow more transparent for us. This is because the editors can see everything centrally: Which person submitted a report to which recipient group at what time? Or: Where is information still missing? Who has to provide it and by what deadline?

edr software: And which aspects have changed for the better with PX image management?

Tim Baur: mydocma PX can make a decisive contribution to speeding up both the filing and searching of project images. We have already benefited from this during the shell construction of the Munich Volkstheater. The solution is not yet in use across the board, but sooner or later we can imagine using it to set up a central image pool. All photos will then have a clear assignment to the project, date, editor, location, component, company, etc., so that they can be easily retrieved using the keyword search.

RESULT

edr software: What do you see as the biggest advantages of mydocma MM defect management?

Tim Baur: Thanks to the many automated functions, the entire defect management process requires noticeably less effort. The module automatically adjusts the status of new processes, which we previously had to do manually. Now it only takes a few clicks to generate reports, defect lists and statistics or to process defects collectively. Recording defects directly on the construction site using the app is also extremely time-saving. Including all the necessary data such as company/trade lists, distribution lists, etc., which can be conveniently called up in the system. We really appreciate the fact that mydocma MM has such a high information content: Defect history, photographic evidence, deadlines, plans, separate view for client and subcontractor, letter templates, release notification link – it includes everything we need for sound defect management.

edr software: What do you see as the main advantages of construction documentation with mydocma RP and image management with mydocma PX?

Tim Baur: It is a great advantage for us that the daily construction reports and photos are no longer managed via the local networks, but instead via the cloud, which is hardware-independent. This means that those responsible can access the data at any time, from anywhere, get a clear overview and make edits. Being able to feed our image material into the system on the move is of course very beneficial for our work speed. We also find the rights and roles system in all the edr software solutions we use very helpful. This allows us to ensure that our collaboration runs smoothly – whether in terms of project configuration or read, write and delete authorisations, etc.

edr software: Do you also use the statistical analysis options as a basis for strategic decisions?

Tim Baur: Yes, the diagrams are a good way for management and executives in particular to see at a glance where the elimination of defects is going according to plan or where there are problems and countermeasures need to be taken.

edr software: How would you rate the service/support of edr software?

Tim Baur: Both our employees and our external site managers who work with the software are very satisfied with the support – in the vast majority of cases, we receive concrete assistance immediately. We usually receive a call back within less than half an hour for special requests. All in all, the service is excellent.
