The property company Bayerische Hausbau has built the new WELFENGARTEN complex in Munich’s Au-Haidhausen district and holds 320 residential units in its own portfolio. Business economist Philipp Bunz is the owner of Bunz & Co Immobilien GmbH and, together with his team, is responsible for letting and handing over the flats to the tenants. edr software: Hello Mr Bunz, as the estate agent responsible for WELFENGARTEN, you use the mydocma AP for the flat handover protocol. How did you proceed before using our digital solution?
Philipp Bunz: In the past, we managed flat handovers in the traditional way using paper templates, which was comparatively cumbersome. We had to print out the Word document provided for this purpose and fill it out twice by hand on site – once for the tenant and once for the landlord. We then sent the complete protocol to both parties by post. We made scans for our internal archive.
edr software: Which activities will be eliminated by the electronic form?
Philipp Bunz: All the paperwork is a thing of the past: writing, printing, copying, scanning, filing, mailing – all these time-consuming work steps are completely unnecessary. As all master data such as tenant personal details, property information, room types, equipment features, key and meter numbers, etc. are already stored in mydocma AP, we no longer have to collate them ourselves from various sources at the handover date. With just one click, we have the required information to hand. The system offers helpful links, e.g. it automatically integrates the relevant tenant data into the respective fields when a flat is called up. Distribution is equally simple: we just press a button and the selected group of recipients is in possession of the report and Bayerische Hausbau is informed of any necessary follow-up work.
edr software: What advantages does mydocma AP offer you?
Philipp Bunz: Digitising the handover process saves us an enormous amount of time. With the exception of a few blank lines for comments, the standardised app mask largely consists of option fields or drop-down lists, so we can click our way through the form quickly. With mydocma AP, the quality of our inventories is also improved: thanks to the mandatory fields, we don’t forget any relevant information and the camera function allows us to provide photographic evidence at the same time – e.g. the meter readings for electricity, water and district heating. By going digital, we avoid errors that can creep in due to illegible handwriting or the manual transfer of data to Office programmes.
We appreciate the automatic and resource-saving filing without paper. The minutes are clearly organised and we can access the documents at any time – quickly and from any location. The process also has the positive side effect that we save on paper, printing, copying and postage costs. And just as in other industries, the same applies to the property sector: digital is good for our image. It improves our standing in the market and ensures a professional image towards landlords and tenants.

Philipp Bunz: The mobile mydocma AP form serves as a common thread in WELFENGARTEN – it accompanies us step by step through the stages of the flat handover. The log screen and the interface of the entire application are clearly structured and self-explanatory. We received an introduction from edr software, but thanks to the clear menu structure, we also find our way around intuitively. The unagitated, minimalist look made it easier for me to get started, as the focus is immediately on the essentials.

Philipp Bunz: We contacted the support team both by telephone and in writing and have nothing but the highest praise for them: Our concerns were dealt with in the shortest possible time and answered in full.

Philipp Bunz: Yes, mydocma AP digitally maps the entire handover process and is very easy to use – we didn’t have to install anything and were able to get started straight away. It speeds up the work processes considerably and the result is seamless protocols with content and probative value. As your form manager proved its worth in the WELFENGARTEN pilot project, we can well imagine using it for the handover and acceptance procedure for other projects in the future.
